Patio — Privacy Policy

1. Introduction

Patio Technologies LLC ("Company," "we," "us," or "our") respects your privacy and is committed to protecting it through our compliance with this Privacy Policy. This policy describes the types of information we may collect from you or that you may provide when you access or use our software-as-a-service platform, website, and related applications (collectively, the "Service"), and our practices for collecting, using, maintaining, protecting, and disclosing that information. The Service is a business tool intended for use by real estate brokerages and their staff.

2. Information We Collect

We collect several types of information from and about users of our Service, including:

  • Personal Information: information by which you may be personally identified, such as name, email address, postal address, telephone number, billing information, or any other identifier by which you may be contacted online or offline.
  • Customer Data: data and information submitted by you or on your behalf to the Service in connection with your use of the platform, such as contacts, deals, documents, listings, vendors, and financial records. Your brokerage controls this data; we process it to provide the Service.
  • Business Identity Information: for organizations, legal entity name, tax identification (EIN), business address, and authorized representative — used to register your organization's calling and texting identity with telecommunications carriers.
  • Communications Data: calls placed or received through Patio numbers may be recorded and transcribed; text messages sent and received through the Service are stored; our AI assistant ("Jessica") processes call and query content to produce summaries, briefs, and answers.
  • Location Data: with your permission, our mobile app collects location information in the background to detect and log drives for mileage tracking. You can disable this in your device settings at any time.
  • Connected Accounts: if you connect third-party accounts (for example Google Contacts or Calendar, social media accounts, or accounting software), we access only the data those connections authorize, to provide the requested features.
  • Connected Social Accounts: if you connect a social media account (for example TikTok, Facebook, Instagram, or LinkedIn), we receive an access token for that account and basic profile information such as your display name, account identifier, and avatar. We use these solely to show you which account is connected and to publish the content you create and approve in Patio to that same account. We do not read your existing posts, followers, direct messages, or analytics beyond what a feature you have enabled requires, and we never post without your explicit action. You can disconnect a social account at any time in Settings, which stops Patio from posting to it or reading from it. Deleting your Patio account additionally revokes Patio's access token with that provider.
  • Usage Details: information about your internet connection, the equipment you use to access our Service, and usage details, including IP addresses, browser types, operating systems, app version, and page views.
  • Cookies and Tracking Technologies: we may use cookies, web beacons, and similar tracking technologies to collect information about your interactions with our Service.

3. How We Use Your Information

We use information that we collect about you or that you provide to us, including any personal information:

  • To present our Service and its contents to you, and to provide, operate, secure, and improve the Service.
  • To provision phone numbers and register messaging identities with carriers.
  • To record, transcribe, and summarize communications as configured by your brokerage.
  • To process and fulfill transactions, including billing and account management.
  • To provide customer support and respond to your inquiries.
  • To send service and operational notifications, including opt-in text messages.
  • To notify you about changes to our Service or any products or services we offer or provide through it.
  • To improve our Service, marketing, and user experience.
  • To fulfill any other purpose for which you provide it, or for any other purpose with your consent.

Google User Data — Limited Use

Patio's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

If you connect your Google account, Patio requests only the following and uses each solely for the stated feature:

  • Google Contacts, read-only (contacts.readonly) — to import your address book into your Patio sphere, and to keep it current with a daily sync. We read only your own contact list, and only the name, email address, and phone number fields. We never write to, or delete from, your Google Contacts.
  • Google Calendar events you own (calendar.events.owned) — to put the showings and appointments Patio books onto your own calendar, and to update or remove those same events when they are rescheduled or cancelled in Patio. We only ever change an event Patio itself created, we never list or read events created by anyone else, and this grant does not reach calendars you can write to but do not own.

How Patio accesses this data. Patio reads your Google data only after you connect your Google account yourself — from Settings → Integrations, or from the Google card on your Contacts page — and only through the two permissions listed above. Access is by an authorization token Google issues for your own account; Patio never asks for and never stores your Google password, and Patio cannot reach a Google account that has not granted it access. Your contacts are read by a single Google People API request when you connect and once a day afterwards. Calendar events are created, updated, and deleted only for the appointments Patio itself booked.

How Patio uses this data. Imported contacts become records in your own Patio sphere, visible to you and to the authorized users of your brokerage, and are used for the follow-up, messaging, and reporting features you choose to run. Calendar events are used to place, reschedule, and cancel the appointments Patio books for you. Patio does not read your calendar to work out when you are free: the times Patio offers come from your configured business hours, less the appointments Patio itself has booked. We do not use Google user data for advertising, and we do not sell it.

How Patio shares and transfers this data. We do not transfer Google user data to anyone except the service providers who run the Service for us, under contract and only to deliver a feature you have used, or where the law requires it. One of those providers is our artificial-intelligence provider, Anthropic. When you use a Patio feature that drafts a message about a person, the information that feature needs is sent to Anthropic's Claude API so the text can be written. For a contact imported from Google that is the person's name, together with the status and notes you keep about them in Patio — never the email address or the phone number imported from Google. Anthropic processes this material on our instructions to return that result; Anthropic's Commercial Terms of Service provide that Anthropic "may not train models on Customer Content from Services", which covers what Patio sends and what comes back. Patio does not use Google user data to develop, improve, or train generalized artificial-intelligence or machine-learning models.

How Patio protects this data. Google data is held in the same systems as the rest of your Patio account and is covered by the measures described in Data Security below, including encryption in transit and role-based access controls enforced on our servers. Imported contacts are scoped to your brokerage and to your own agent record. The authorization tokens Google issues are held in your account record and are used only to make the requests described above.

How long Patio keeps it, and how to delete it. Contacts imported from Google stay in Patio until you delete them, and you can delete them yourself at any time: your Contacts page offers to remove the imported set in one action, and Settings → Integrations offers to delete those same contacts at the moment you disconnect. Disconnecting Google in Settings → Integrations revokes Patio's access with Google and deletes the stored Google tokens from your account. You may also revoke Patio's access directly from your Google account permissions page. Deleting your Patio account revokes the Google authorization and removes your account data as described in Account Deletion below.

Google user data

If you connect your Google account to Patio, Patio accesses only: your Google Contacts (read-only) to import the people you choose into your own Patio contacts; and calendar events that Patio created for you, to update or remove them. Patio uses this data only to provide those features to you. Patio does not sell Google user data, does not use it for advertising, and does not share it with third parties except service providers who process it on Patio's behalf under contract. Imported contacts are stored in your Patio account until you delete them. You can disconnect Google at any time in Settings → Integrations, which revokes Patio's access and deletes the stored Google tokens. Patio's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

4. AI Processing

Certain features use artificial intelligence to transcribe calls, draft content, answer questions, and generate summaries or recommendations. AI outputs are drafts for your review. We do not sell your data to train third-party foundation models.

5. How We Share Your Information

We do not sell your personal information. We may disclose aggregated information about our users, and information that does not identify any individual, without restriction. We may disclose personal information that we collect or you provide as described in this Privacy Policy:

  • Service Providers: to contractors, service providers, and other third parties we use to support our business (e.g., cloud hosting, telephony and messaging carriers, payment processing, transcription, analytics, and AI processing providers) who are bound by contractual obligations to keep personal information confidential and use it only for the purposes for which we disclose it to them.
  • Your Brokerage: brokerage administrators can access brokerage business data consistent with in-product access controls. Personal bookkeeping features (such as an agent's personal transactions and mileage) are not visible to brokerage administrators.
  • Business Transfers: to a buyer or other successor in the event of a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of Patio Technologies LLC's assets.
  • Legal Compliance: to comply with any court order, law, or legal process, including to respond to any government or regulatory request.
  • Enforcement: to enforce or apply our Terms and Conditions and other agreements, including for billing and collection purposes.

6. Text Messaging

Text-message consent is optional and not a condition of using the Service. Message frequency varies; message and data rates may apply. Reply STOP to opt out and HELP for help. Consent records are retained as proof of opt-in.

7. Call Recording

Calls through Patio numbers may be recorded and transcribed. Recording-consent laws vary by jurisdiction; your brokerage and its users are responsible for providing any legally required notices to call participants.

8. Data Security

We have implemented reasonable and appropriate administrative, technical, and physical measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure, including encryption in transit and role-based access controls enforced server-side. However, the transmission of information via the internet is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal information transmitted to our Service. Any transmission of personal information is at your own risk.

9. Your Data Privacy Rights

Depending on your location, you may have certain rights regarding your personal information, including the right to:

  • Request access to the personal information we hold about you.
  • Request the correction of inaccurate personal information.
  • Request the deletion of your personal information.
  • Object to or restrict the processing of your personal information.
  • Request the transfer of your personal information (data portability).

To exercise any of these rights, please contact us using the information provided below. Requests concerning brokerage-controlled Customer Data may be routed to your brokerage as the data controller.

10. Account Deletion

You may request the deletion of your Patio account and associated personal information at any time:

  • From the app: request deletion from your account settings.
  • By email: send a deletion request to support@runpatio.com from the email address on your account.

Once we receive and verify your request, we will deactivate your account and delete your personal information within 30 days, except for information we are required to retain by law (for example, billing and tax records) or information retained by your brokerage as the data controller of brokerage Customer Data. We will confirm by email when deletion is complete.

11. Data Retention

We will retain your personal information only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your information to the extent necessary to comply with our legal obligations, resolve disputes, and enforce our policies.

12. Children

The Service is a business product and is not directed to children. We do not knowingly collect personal information from children.

13. Changes to Our Privacy Policy

It is our policy to post any changes we make to our Privacy Policy on this page. If we make material changes to how we treat our users' personal information, we will notify you by email to the primary email address specified in your account or through a notice on the Service. The date the Privacy Policy was last revised is identified at the top of the page.
